We are Energy Systems Catapult Limited, a company limited by guarantee, registered in the UK under company number 08705784, whose main place of business is at 7th Floor, Cannon House, 18 Priory Queensway, Birmingham B4 6BS (“us”, “we”, “our”).
This privacy notice (the “Privacy Notice”) applies to the personal information processing activities carried out by us to deliver the Warm Home Prescription Evaluation® to you.
This policy (together with our terms of use) sets out the basis on which any personal data we collect from you, or that you provide to us (“data”), will be processed by us. By using our service, you are accepting and consenting to the practices described in this policy.
For the purposes of the Data Protection Act 2018 (the “Act”), we are the Data Controller.
Why we are collecting your data
You are invited to take part in this survey because you previously participated in the Warm Home Prescription (WHP) service. The purpose of this survey is to:
- Collect your feedback and opinions on the service you received.
- Understand how the service has impacted your home warmth and energy use.
- Explore whether participants perceive any changes in their health or wellbeing after using the service.
- Inform anonymised reporting and evaluation of the WHP service, including our annual report.
Your responses help us improve the service for future participants and ensure the WHP programme continues to meet the needs of the communities it serves.
What information we collect
The survey asks you to provide information about your experiences and perceptions. This may include:
- Your views on the service (e.g., satisfaction and accessibility)
- Self-reported changes in home warmth and energy behaviours
- Eligibility perceptions – which service criteria you feel apply to you
- Health-related information – If there is a medical device used in your home and how the service impacted your physical & mental health
Optional participation:
- Prize draw: If you choose to enter, we will collect your name and email or postal address to issue the voucher.
- Further research: If you opt in, we will collect your name and contact details to invite you to participate in future research.
You are not required to answer any questions you are uncomfortable with. Survey responses are reported anonymously unless you choose to provide identifiable information through the prize draw or research participation.
Lawful basis for processing
We process your personal data under the following lawful bases under UK GDPR:
- Consent – for survey completion, prize draw entry, and opting into further research. Consent is voluntary and can be withdrawn at any time.
- Legitimate interests – to evaluate and improve the WHP service, analyse survey data, and report on outcomes.
Health information is classified as special category data under UK GDPR. We process this information only with your explicit consent, and it is used in combined, anonymised form.
Voluntary participation
Participation in this survey is entirely voluntary. You have the right to:
- Skip any question you do not wish to answer
- Withdraw from the survey at any time
- Decline the prize draw or further research invitation
Choosing not to participate will not affect your access to any current or future WHP services.
Who will have access to your data
Your data is handled securely, and access is limited to authorised personnel:
- WHP project team members responsible for evaluation and prize draw administration
- QuestionPro, our survey platform provider, who acts as a data processor and only processes data on our instructions.
- Royal Mail, who acts as a data processor and only processes data on our instructions (for prize draw winners only)
We do not sell your data to any third parties.
How long we keep your data
- Prize draw contact information: up to 30 days after prizes are distributed.
- Further research contact details: up to 24 months.
- Survey responses containing personal identifiers: deleted once no longer required.
- Anonymised survey data: may be retained until April 2028 for reporting and research purposes.
All data is securely stored, and systems and access controls are in place to protect your information.
International transfers
Your data will not be transferred outside of the UK or EEA.
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you.
- Correct any inaccuracies.
- Request deletion of your personal data where applicable.
- Withdraw consent for data processing.
- Restrict or object to processing.
- Lodge a complaint with the Information Commissioner’s Office (ICO), if you are unhappy with how your data is handled.

How to withdraw or opt out
- To withdraw from the survey or skip questions, simply do not complete the relevant parts.
- To opt out of the prize draw or further research, deselect the corresponding option in the survey.
- If you have already submitted your data and wish to withdraw, contact dataprotectionoffice@es.catapult.org.uk. We will remove identifiable data wherever possible.
